How to Create an Account

Get started with Dentare in under 2 minutes. This guide walks you through signing up, adding your first patient, and configuring your clinic.

Step 1 β€” Sign Up

Go to dentare.io/users/sign_up and fill in:

  • Account Name β€” your clinic's name

  • Full Name β€” your name

  • Email β€” your email address

  • Password β€” minimum 6 characters

Check "I accept the terms of service & privacy policy" and click Sign up.

You can also sign up instantly with Sign up with Google.

Note: After signing up, you automatically become the clinic admin with the Doctor role.


Step 2 β€” Welcome Screen

After signing up, you'll see a welcome screen with 3 setup tasks:

  • Add First Patient β€” create your first patient profile to get started

  • Configure Settings β€” set up your practice preferences and notifications

  • Launch Practice β€” start managing appointments and patient care

Click Add Your First Patient to begin. Setup takes less than 3 minutes.


Step 3 β€” Add Your First Patient

A patient form opens with the following sections:

  • Basic Information β€” First Name, Last Name, Language (used for emails and messages sent to patients), Avatar, Birthdate, Gender, Preferred Doctor

  • Contact Information β€” Phone Country, Phone, Email, Street address

  • Emergency Contact

  • Medical Information

  • Notification Preferences

  • VIP Status

Fill in at least the basic information and click + Create Patient. You can complete the other sections later.


Step 4 β€” Clinic Setup Wizard

After creating your first patient, a wizard guides you through the following steps. You can navigate using the Back, Reset, Save, and Next buttons at the bottom of each step.

4.1 β€” Clinic Profile

  • Clinic Logo β€” upload your clinic logo

  • Clinic Name β€” displayed throughout the app

  • Official Clinic Name β€” used on invoices and official documents

  • Country

  • Currency β€” used for payments and invoicing

  • Timezone

  • Language β€” interface language (English, Shqip, МакСдонски)

  • Registry Number β€” your business registration number

  • Tax Number β€” required for invoicing

  • Email, Phone, Website

Note: This information appears automatically on invoices, appointments, and other documents.

4.2 β€” Clinic Address

  • Street Address

  • Postal Code

  • City

  • Region / Municipality

  • Country

You can add additional address info with the "+ Additional Address Info" link. The address is used on invoices, official documents, and patient communication.

4.3 β€” Working Hours

  • Opening Time and Closing Time

  • Working Days β€” select which days your clinic is open (MON through SUN)

  • Open on Weekends? β€” toggle on if your clinic works Saturdays or Sundays

  • First Day of the Week β€” Monday by default

Working hours are visible to patients on the appointment page and clinic profile.

4.4 β€” Settings

  • Two-Factor Authentication (2FA) β€” if enabled, all users must use an authenticator app (e.g., Google Authenticator)

  • Login PIN β€” after logging in, users are asked for a PIN for full access. Ideal for quick switching between doctors on shared devices.

  • Default PIN β€” set a 4–6 digit PIN for new users who haven't set their own yet

  • Enable Kiosk Lock β€” shows a lock screen on shared clinic devices. Staff unlock with their PIN.

  • Inactivity Timeout β€” the lock screen reappears after this many seconds without activity (default: 180 seconds / 3 minutes)

4.5 β€” Select Departments

Choose which departments are active in your clinic:

  • Stomatology β€” checkups, cleanings, fillings, and daily oral care. Patient records, visit scheduling, and schedule management.

  • X-Ray β€” panoramic scans, diagnostics, and internal images. Digital tools for interpretation and record storage.

  • Dental Lab β€” crowns, bridges, dentures, and prosthetic case management. Lab case tracking and quality checks.

Toggle on the departments you need.

4.6 β€” Department Schedule

For each active department, set its weekly schedule:

  • Opening Time and Closing Time

  • Working Days (MON–SUN)

  • Open on Weekends

  • First Day of the Week

This controls when each department is available to patients.

4.7 β€” Confirm

Review all your settings:

  • Active services and monthly cost summary

  • Clinic information β€” name, official name, registry number, tax number, address

  • Country, Language, Currency, Timezone

  • Security settings

  • Selected departments and their schedules

Click Edit to go back and change anything, or click Confirm to finish setup.



Step 5 β€” Setup Complete


You'll see "Setup Complete β€” Your Clinic Is Ready!"

Click Go to Patients to start scheduling appointments, managing patients, and running your clinic.

You can change any of these settings later from the Settings menu.
